I need to write a memo to drivers that are behind on their logbooks, driver's trip reports and truck maintenance but I need to list all three.|||Consider doing a form memo listing all required paperwork that the drivers do. Use a checkbox format, and create it in a Word template so that you can repeat the same form, while tailoring the driver's name (or number) to reflect the addressee. The creation of such a form will be more convenient for you, will actually look better in an audit (where they will be looking to see if you are keeping on top of such things), and will provide you with a means by which the drivers can easily identify what you are looking for from them. Add a 'notes' section at the bottom where you can address specific dates for the missing reports.
Cite company policy regarding the timeliness of drivers paperwork submissions. You should have a written policy regarding this, along with some consequences for failures. This should be in a driver's handbook, or other policy and procedures manual. If you don't have this already, get it asap. Be fair, but firm. Let the drivers know that their delay in submitting paperwork causes delays in other areas of the operation, and could even delay something important to them... like payroll.|||Make it a pleasant form letter stating that the following is missing from their files and needs to be submitted ASAP. Put the three items on the letter with a box or line for check marks. You now have a memo you can use whenever someone is behind and it will pertain to only them once you check the boxes.
Have a section for the driver's name and lic# or whatever else you identify them by. Keep it on the PC so it is formal and can be filled in and printed out whenever you need one.|||Drivers,
It has come to our attention that we are missing log book pages, trip reports and maintenance records from some of your rigs. Please check your records to see if any have been inadvertently missed.
We will be allowing (set amount of time) for these to be turned in with no adverse actions. After that time, we will contact anyone with missing information and require them to submit or re-submit the information.
We realize we could be at fault as much as any one and hope we can come to a speedy resolution to the problem.
If you are selected to re-submit information, please understand we are not placing blame, just trying to update our safety records .
